Privacy Policy
Effective Date: 1 September 2026
Last Updated: 1 September 2026
At Photoeth Studio, we respect your privacy and are committed to protecting the personal information shared with us. Photoeth Studio is a professional photography and visual content company based in Gurugram, Haryana, serving corporates, MNCs, businesses, brands, agencies, institutions, event organisers and professionals across photography, videography and related visual-media requirements.
This Privacy Policy explains how we collect, use, store, protect and share personal information when you visit photoethstudio.com, contact us, engage our services, or otherwise interact with us. By using our website or providing information to us, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
We may collect information that you voluntarily provide when you contact us, request a quotation, enquire about our services, make a booking, communicate with our team or engage us for an assignment. This may include your name, company or organisation, designation, email address, telephone number, WhatsApp details, business address, billing and GST information, event details, project requirements, creative briefs, communication records, feedback and other information necessary to provide our services.
Because photography and videography are our core services, we may also create or receive photographs, videos, audio recordings, interviews, testimonials and other audiovisual material during assignments. Such material may contain identifiable individuals, including employees, executives, speakers, guests, customers, partners, vendors, visitors and members of the public.
We may also automatically collect limited technical information when you visit our website, such as your IP address, browser and device information, operating system, approximate location, referring webpage, pages visited, website interactions and similar technical or usage information. We may receive information from clients, event organisers, agencies, venues, business partners or other authorised persons where necessary to perform an assignment.
2. How We Use Your Information
We use information primarily to provide and manage our photography and videography services, respond to enquiries, prepare quotations and proposals, coordinate assignments, manage projects, communicate with clients, process invoices and payments, deliver photographs and videos, provide customer support and maintain appropriate business records.
We may also use information to operate, secure and improve our website and business, understand website usage, conduct analytics, prevent fraud or misuse, resolve disputes, comply with legal obligations and protect our rights.
Where permitted by applicable law, we may also use business contact information to communicate relevant information about our services, portfolio, company updates or future business opportunities. You may opt out of non-essential marketing communications at any time.
3. Photography, Videography and Events
Photography and videography may take place at corporate offices, exhibitions, conferences, trade shows, launches, seminars, networking events, hotels, convention centres and other public or private venues. Individuals may therefore appear intentionally or incidentally in photographs and recordings.
Where Photoeth Studio is commissioned by a corporate client, event organiser or agency, photography and recording will generally form part of the contracted service and will be carried out according to the client’s lawful instructions and the applicable agreement.
The relevant client, event organiser or venue may also provide separate notices concerning photography and recording. Where you do not wish to be intentionally photographed or recorded, you may communicate your request to the event organiser or our representative, and we will make reasonable efforts to accommodate legitimate requests subject to the nature of the assignment, contractual requirements, technical limitations and applicable law.
4. Corporate Clients and Data Processing
Many of our assignments are undertaken for corporates, MNCs, agencies and other organisations. In such cases, the client may determine who is photographed, why the photography is required, how the resulting material will be used, who receives the content and how long it should be retained.
Where we process personal information on a client’s instructions, the client may be the primary Data Fiduciary or Data Controller and Photoeth Studio may act as a Data Processor or service provider, depending upon the circumstances and applicable law. Clients are responsible for ensuring that they have the appropriate authority, permissions, notices and lawful basis for providing personal information to us.
Where appropriate, additional data-processing, confidentiality, security or privacy requirements may be agreed through a separate contract, NDA, MSA, purchase order or other written arrangement.
5. Portfolio and Promotional Use
As a photography company, we may wish to display selected work to demonstrate our capabilities. Photographs and videos may be used on our website, portfolio, social-media pages, proposals, credentials, case studies, presentations, marketing material, award submissions or other promotional channels where such use is permitted by the relevant agreement, consent, licence or other lawful basis.
The fact that a photograph was created during a commissioned assignment does not automatically mean that it may be publicly displayed by Photoeth Studio for promotional purposes. Where a client has specifically restricted public portfolio or promotional use in writing, we will respect the applicable contractual restriction.
We also take reasonable care not to intentionally use confidential business information, internal documents, unreleased products, trade secrets or other commercially sensitive material for public promotional purposes where confidentiality obligations apply.
6. Sharing Information With Third Parties
We do not sell or rent personal information as a standalone commercial product. Information may, however, be shared where reasonably necessary to provide our services, operate our business or comply with applicable law.
This may include sharing relevant information with photographers, videographers, editors, retouchers, production crew, freelancers, event agencies, marketing agencies, cloud-storage providers, website and hosting providers, online gallery and file-transfer services, payment processors, accounting professionals, legal advisers, IT and cybersecurity providers and other professional service providers.
We endeavour to share only the information reasonably necessary for the relevant purpose and expect service providers handling information on our behalf to maintain appropriate confidentiality and security.
7. Third-Party Platforms, Cookies and Analytics
Our website and business may use third-party platforms and technologies for communication, hosting, analytics, file delivery, payment processing, advertising and other legitimate business purposes. These may include services such as Google, Microsoft, Adobe, Meta, LinkedIn, WhatsApp, cloud-storage providers, payment gateways or other similar services that we may use from time to time.
Our website may also use cookies and similar technologies to operate essential functions, remember preferences, understand website traffic, analyse performance, improve the user experience and, where applicable, measure advertising campaigns. Where legally required, non-essential cookies and similar technologies will be subject to appropriate consent mechanisms. You can also manage cookies through your browser settings, although disabling certain cookies may affect website functionality.
Third-party platforms may process information according to their own terms and privacy policies, and Photoeth Studio does not control the privacy practices of such external services.
8. Data Security
We take reasonable technical, organisational and administrative measures designed to protect personal information and photographic data against unauthorised access, disclosure, alteration, misuse, loss, destruction or other reasonably foreseeable security risks.
Photography assignments may involve information being temporarily stored on camera memory cards, computers, editing systems, backup drives, secure cloud services, online galleries and file-transfer platforms. Access is restricted to authorised personnel and service providers who require such access to perform their role.
While we take reasonable precautions, no electronic transmission, storage system, cloud platform or online service can be guaranteed to be completely secure. Accordingly, we cannot guarantee absolute security of information transmitted to or stored by us.
9. Data Retention and Archives
We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, to provide our services, fulfil contractual obligations, maintain financial and accounting records, comply with applicable law, resolve disputes, protect our rights, maintain security and support legitimate business requirements.
Photographs and videos may also be retained in our archives for purposes such as re-delivery, client support, backup, disaster recovery, contractual obligations, historical project records, legal protection and portfolio use where permitted.
Clients requiring specific retention or deletion periods for project material should communicate such requirements before the assignment begins and have them documented in the applicable agreement.
10. International Processing
Some technology and service providers used by Photoeth Studio may store, process or provide access to information outside India. Where this occurs, information may be transferred internationally and processed in accordance with applicable law and appropriate contractual, technical or organisational safeguards.
Corporate clients with specific data-residency, localisation or international-processing requirements should communicate those requirements to us before commencement of the relevant engagement.
11. Your Privacy Rights
Subject to applicable law, you may have rights concerning your personal information, including the right to request access to information we hold about you, request correction of inaccurate information, request deletion where legally permissible, withdraw consent where processing is based on consent, raise a privacy grievance and opt out of non-essential marketing communications.
Requests may be made by contacting us using the details provided below. We may need to verify your identity before processing certain requests and may be unable to fulfil requests where retention or processing is required by law, contract, legitimate business requirements or other applicable exceptions.
Where Photoeth Studio processes information on behalf of a corporate client, certain requests may need to be directed to that client as the primary Data Fiduciary or Data Controller.
12. Children and Sensitive Information
Our services are primarily directed towards businesses, organisations and adults. Certain events may nevertheless include children or individuals whose photographs are captured incidentally.
We do not knowingly seek unnecessary sensitive personal information through our website. Where children are intentionally photographed as part of a corporate or event assignment, the relevant client or organiser may be responsible for ensuring that appropriate parental or guardian permissions and other requirements are addressed where applicable.
Individuals should avoid submitting sensitive personal information that is not reasonably necessary for an enquiry or service.
13. AI and Technology-Assisted Processing
Photoeth Studio may use technology-assisted tools as part of normal photography and post-production workflows, including image selection, organisation, colour correction, noise reduction, retouching, enhancement and quality control.
We do not intentionally use client photographs for unrelated facial-recognition identification, biometric profiling or training third-party artificial-intelligence systems unless such processing has been appropriately disclosed, authorised and permitted under applicable law and contractual arrangements.
Where an assignment involves materially different forms of automated, biometric or AI-based processing, the relevant privacy and contractual requirements will be assessed separately.
